Tender

An invitation to submit a formal offer against a defined requirement and process. Read the specifications, eligibility conditions and submission instructions carefully. The publisher’s documents determine what is required.

Request for quotation (RFQ)

Useful when the goods or services are sufficiently defined to ask for comparable prices. State quantities, specifications, delivery location and timing. A supplier can then quote a price and the relevant terms.

Request for proposal (RFP)

Useful when you can explain the outcome but want suppliers to propose an approach. Describe the problem, deliverables, constraints and how responses will be assessed. Suppliers may need to explain their method, team, timetable and price.

Expression of interest (EOI)

Usually asks who has the interest and capability to take part before detailed offers are requested. Explain the next stage and the information needed to assess experience, capacity or suitability.

Request for information (RFI)

Helps a buyer understand the available products, services or approaches before deciding what to purchase. Make clear that the request is for information and explain any intended next step.

Everyday requests count too

A small business does not need a complicated document to request repairs, equipment or professional advice. A clear description, relevant requirements and an appropriate deadline can be enough. These labels are general guidance; each publisher’s stated process takes precedence.
